Description

Under the direction of the Manager, this position manages, reviews, and supervises the operations and performance of the Documentation staff to ensure regulatory compliance and quality service.  Also is the systems administrator for Laser Pro and manages the Real Estate and Non Real Estate Documentation Process for all loan products owned by and/or documented in the Retail Lending Division.  Ensures business unit’s compliance with applicable laws, regulations, regulatory requirements and Bank policies and procedures, including but not limited to those related to Regulation Z, Customer Identification (CIP), Customer Due Diligence (CDD), Community Reinvestment Act (CRA), Fair Banking, Anti-Money Laundering laws and regulations, Bank Secrecy Act and USA PATRIOT Act.  This position is responsible for serving as the Excellence in Sales/Service (ESS) champion for the unit.  This includes planning, executing, monitoring and measuring the service process.  In addition, this position is responsible for contributing to the Bank’s Vision by actively participating in and practicing the disciplines and behaviors of its Core Values.

 

Responsibilities:

  • Plans, monitors, and administers the daily workflow and assignments to ensure the quality and efficient delivery of documents (including, preparation of loan documents for closing using specific product requirements and Laser Pro, execution of closing documents and post-execution quality control review, etc.), and other related department services.
  • Reviews document files to ensure consistency, accuracy and compliance to bank policies, procedures and regulations.
  • Responsible for the management of all employees in the section including staffing, scheduling, compensation, performance management, training and development.
  • Goal is to attract retain and motivate the team to achieve management business objectives and maintain a favorable employee relations climate. 
  • Assists with the timely and effective management of Human Resources forms and documents relevant to immediate staff. 
  • Designs and coordinates documentation orientation materials and programs for the department and other Bank staff. 
  • Responsible for the establishment, training and ongoing maintenance of desktop procedures.
  • Coordinates and provides ongoing training to ensure development of qualified and knowledgeable documentation staff.
  • Training may also include loan closing training to department partners.
  • Serves as the Laser Pro expert for Retail Lending.  
  • Communicates with other business units, outside legal counsel and legal department to resolve documentation and regulatory issues. 
  • Performs tests on new document changes to Laser Pro system.
  • Assists and supports the Operations Team in achieving the goals and objectives of the Documentation and Operations Team as a whole. 
  • Assists and provides backup for the Operations Supervisor, assists the Loan Documentation and Operations Manager with planning, developing and meeting the goals and objectives of the documentation area. 
  • Acts as the Documentation Manager in his/her absence.

 

 


Qualifications

Education: 

  • High School diploma, GED or equivalent work experience.

 

Experience: 

  • Three years of work experience with documentation in consumer and/or commercial, real estate, government participated loans or other complicated loans. 
  • Six months supervisory/leadership experience preferred.

 

Technical Skills: 

  • Demonstrated proficiency with personal computers in a networked environment and Microsoft applications (Outlook, Word, and Excel) or similar software. 
  • Experience or ability to learn bank and loan related software such as Laser Pro system. 

 

Other Job Qualifications: 

  • Capable of managing special projects with minimal supervision; detail oriented; self starter; possesses analytical skills. 
  • Demonstrated verbal and written communication skills.
  • Ability to perform the job functions with minimal oversight from the Loan Documentation and Operations Manager.
