A day in your life as a Fiduciary "Trust" Administrator

Under the direction of the manager, this position supports Fiduciary Officer(s) in the administration of Fiduciary accounts where the bank is acting as trustee, personal representative, conservator, guardian or agent. Oversees daily operational activities of accounts as well as provide the highest level of customer service to clients, attorneys, CPA’s, beneficiaries and other wealth advisors related to these accounts. Assists in business unit’s compliance with applicable laws, regulations, regulatory requirements and Bank policies and procedures, including but not limited to those related to Anti-Money Laundering laws and regulations, Bank Secrecy Act and USA PATRIOT Act. In addition, this position is responsible for demonstrating the Excellence in Sales/Service (ESS) philosophy by participating in and practicing ESS disciplines and behaviors.

 

We’ll give you these important responsibilities…

  • Acts as liaison between clients, officers and other ISG support units in researching/responding to requests for information (e.g. discretionary distributions, tax planning, trust funding and trust termination).
  • Accomplishes day-to-day account administration activities, including, but not limited to, reviews of daily reports, account set-ups, deposits and withdrawals of cash and assets, and requesting investment trades.
  • Prepares various memos, reports, budgets, and internal and external correspondence, as appropriate.
  • Partners with and assists officer in recognizing errors and issues, research and resolution of issues, and follow through to ensure client’s satisfaction and to prevent recurrence.
  • Annually reviews all assigned accounts for compliance with document requirements and with company and department policies and procedures.
  • Actively ensures compliance with all PCS Policies and Procedures, the Bank of Hawaii Code of Business Conduct & Ethics and all Anti-Money Laundering, Bank Secrecy Act, information security and suspicious activity reporting requirements.
  • Keeps informed of current bank policies and procedures, federal laws and regulations, etc., by attending and participating in monthly Wealth Administrator meetings and through the use of TPROC, TPOL, RegU and Blueflash.

Qualifications

Education

  • College degree or equivalent work experience.


Experience

  • I: Minimum of 6-7 years related work experience.
  • II: Minimum of 8 years related work experience.
  • III: Minimum of 10 years related work experience.


Technical Skills

  • Proficient with Outlook, Word and Excel applications.
  • Knowledge of or willingness to learn banking-related software such as PC Mobius, Metavante and Addvantage.


Other Job Qualifications

  • Excellent verbal, written and interpersonal communication skills.
  • Ability to work independently.
  • Well developed analytical and problem solving skills.
